I thought it would be better to have a separate thread for duties that we can keep updated as everyone does their role.

Firstly we need everyone to be able to take on some tasks - opinions are of course important but one area where we have confusion is tasks. So following on from what Jackie suggested, here is what I think and please add wherever you think there's a gap.

Myself - overall co-ordination. Liaison with Woodman's (but NOT in respect of the Friday night :p). Liaison with NSPCC.
Bob - driving from the back-seat so inputting as above but without as much pressure. Also dealing with Wollaston regarding their sponsorship. Invoices ;)
Andy - Keeping accounts up to date and sorting out bank account issues, notification of slow payers and defaulters.
Lorri - Attendee registration, registration database, menu administration.
Paul L - Friday night entertainment, printing. design ideas. Banking the money.
Paul M - Website update, technical issues, design ideas.
Jackie - Recruitment & payment chasing.
Martin - please define.
Karl - please define.

Key development areas (please add to list):


Sponsor recruitment and administration.

Russ Swift

I forgot to mention that I spoke to Woody's last week re: Russ Swift. They think the idea about getting him for the Saturday could be a goer and will be contacting him direct as he was touting for business from them (and no doubt a few other MINI dealers) a few months back.

Does make sense Lorri :) I'm happy to still send out the invoice for payment but you just let me know who to ask and for how many tickets and I'll let you know who has paid what.

Seriously - Jackie, Martin and Karl would make a pretty formidable press gang for registrations - all got lots of contacts in different "cliques" within the site so should be able to cross borders pretty well :D

You guys game to take recruitment?

I'm happy to do that....but, I don't have contact with anyone now days but you know me, I'll talk to anyone :)

Wouldn't it make sense if I did the registrations? It was confusing this year with me having some & Bob having some... and some people not registering at all :hmph:
I think that would be a good idea too!

Remember, the Ball will be in September so in theory (unless I get whisked off to some exotic place during the school holidays!) I am about for 6 weeks or so. Meaning that I can get involed in writing invites etc to!

I was gonna offer to take on some publicity - as I have been thinking for a while we don't take full advantage of Modern MINI etc. Sham told me a while ago that Woodmans would be doing local papers etc so I thought of more the specialised MINI and national motoring press.

Way back in the day I was the national publicity officer for the A30/A35 OC so am quite used to dealing with journo's :eek:

Thought we could start off in the next issue that goes to press with the final figure announcement and teasing next years. Then follow that up the following month with the big sell on next years as the website will be up and registrations open by then. Then the main task would be to get it in there month after month.

Would it be a good idea to do regular Press releases that would not only go to press but maybe our sponsors etc to keep them informed and hopefully enthused with regular updates? Guess who's mind has been in over drive today:eek:

As I said I am more than happy to do this unless anyone else fancies a go?

Next on my list was thinking about MINI United - what does everyone think to getting MINI to let us have a little stand where we can push the event as there should be literally hundreds of non MINI2 MINI owners there. Obviously we would need to get some cover as none of us would want to stand there all day but I am sure we could get a few volunteers.

I'm also quite happy to continue doing the banking if thats any use? :eek:

I'm gonna shut up now as my brain is hurting :D:D:D

I agree :).

Martin - I know you know the Irish guys very well and post on the Irish forum too - could you get them to sign up, would be great to make this a proper international affair again. ;)

Well we can get the banking of the money sorted pretty quickly if no-one has any objections to Paul doing it. I'm happy for Paul to do it again.

Paul, can I just suggest a few changes?? (I'm gonna anyway!)

"This will go a long way to helping hundreds of children through the hard work and dedication of Make a wish, our designated charity for 2008."

Do you think the wording should be something like this:

"The money you helped to raise will go towards helping hundreds of children have their dreams come true. Of course none of this would be achievable without the hard work and dedication of Make-A-Wish, our designated charity for 2008."

Kinda gives them a feel good factor in reading that they really helped! What do you think?~

Also we know the name of the charity Woodmans have chosen so can that be added? It might prompt any northern sponsors to cough up if they feel that the other charity is local to them?

like that change Jackie - consider it done ;)

I didn't think it had been confirmed yet? Was waiting for someone to confirm it for me but that can be easily changed :)

:eek: No DW's charity has not been confirmed yet - they are still to come back to me on that. It will probably be one of two - the one mentioned is only a maybe.

I like the wording though.

I'll also suggest an amendment .............

"Our new chosen charity for 2009 will be the NSPCC and a local charity close to the events venue to be designated by Derek Woodman MINI"

to

"Our new chosen charity for 2009 will be the NSPCC and a local charity close to the events venue encouraging continued local support"


Reason: I dont think we should mention Woodmans over any other sponsor in a press release to all sponsors ;) *cough* want to keep Wollastons sweet too *cough* :D

I mentioned this one previously but how about having an avatar or additional symbol that people can use on their profile to signify they're going tothe Ball - Pistonheads do it with their BT&P Ball.

Paul - you're the technologist? :D
